HR Benefits and Compliance Specialist

Job PURPOSE

The HR Benefits and Compliance Specialist is responsible for ensuring the effective administration of employee benefits programs and maintaining organizational compliance with federal, state, and local laws. This role is critical in supporting the company’s strategic human resource goals by overseeing the day-to-day management of employee benefits, including health, dental, vision, and disability plans, while also establishing and maintaining compliance programs that mitigate risk and enhance operational efficiency. The Specialist will collaborate with internal stakeholders to assist in developing and implementing policies, provide training, and offer guidance on compliance issues and benefits administration, ensuring a seamless experience for employees and safeguarding the organization’s legal and regulatory standing.


Duties and Responsibilities

People

  • Administer and manage the company’s employee benefits plan, including health, dental, vision, short/long-term disability, FSA/HSA and workers’ compensation claims. 
  • Respond to employee questions about health insurance benefits and assist with resolving claims issues, providing human resource guidance for employee interactions and corrective actions.
  • Maintain accurate documentation on all personnel, including employee files, I-9 forms, training records, and benefits enrollments.
  • Coordinate offer letters, contracts, and agreements with medical staff and external entities. 
  • Assist in provide training, tracking, and education to providers and corporate office staff related to compliance and risk management, including topics such as fraud and abuse, coding requirements, claims submission process, marketing practices, HIPAA, EMTALA, and other related areas. 
  • Maintain an open and positive working relationship with senior leadership, providers, employees, and facility partners.

Innovation

  • Assist in creating and maintaining policies and procedures to ensure compliance with relevant laws and regulations. 
  • Support the development and revision of compliance and benefits training programs and materials.
  • Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, employee benefits, and employment law.

Quality

  • Administer benefit programs including health, welfare, retirement plans, FSA, HSA, COBRA, FMLA, workers’ compensation, and leave management. Monitor benefit enrollments, terminations, and changes to ensure accurate processing.
  • Conduct audits of employee benefits processes and recommend changes to improve workflow, efficiency, and adherence to legal requirements; 
  • Assist in other periodic audits to ensure compliance with policies and procedures.

  • Administer and monitor employee benefits plans, including health, dental, vision, short/long-term disability, workers’ compensation, retirement, and FMLA, ensuring compliance with Section 125, ACA, and other relevant regulations
  • Assist with the handling of day-to-day provider contracting, offer letters, employment commitments, and other agreements and reviewing contracts (new and renewed) for compliance issues.

  • Stay abreast of relevant regulations, policies, and standards related to compliance, benefits administration, and contract management, ensuring the organization remains in line with industry and legal standards.
  • Provide support in onboarding and offboarding providers. 
  • Instill a strong compliance and benefits administration ethic throughout the organization, ensuring that all employees and managers understand the importance of adhering to benefit-related and compliance regulations.
  • Foster continuous improvement in the compliance and benefits administration processes, providing training, updates, and support to HR colleagues and employees.


Qualifications

  • 3-5 years of experience in human resources with a focus on benefits administration and compliance; maintaining regulatory adherence (HIPAA, ACA, FMLA, etc.). 
  • Experience conducting compliance audits and developing corrective action plans.
  • Strong analytical skills with the ability to evaluate and interpret data to support compliance efforts and benefit program improvements.
  • Excellent communication skills, both written and verbal, with the ability to clearly convey complex compliance and benefits-related information to internal stakeholders.
  • Proficient in Microsoft Office
